Terms of service
Last updated 7 October 2026
These terms apply to clinics that register for or use Ematrix ClinicQ (“ClinicQ”), provided by Ematrix Institute of Information Technology (“Ematrix”, “we”). By registering a clinic you confirm that you are authorised to act for it and you accept these terms on its behalf.
The service
ClinicQ provides online appointment booking, token queues, a waiting-room display, appointment messages, payment records and receipts. It is not a medical record system and does not give medical advice. Waiting-time estimates are approximate.
Your account
- Keep your login details confidential and give each staff member their own login.
- You are responsible for activity under your clinic’s logins.
- Tell us promptly if you suspect unauthorised access.
Patient data
Your clinic is the data fiduciary for its patients’ personal data and must have a lawful basis to use it, including any consent required for appointment messages. Ematrix processes that data only to provide ClinicQ to you, as described in our privacy policy, and keeps each clinic’s data separate.
Acceptable use
- Use ClinicQ only for genuine appointments of your clinic.
- Do not send unsolicited or misleading messages, upload unlawful content, or try to access other clinics’ data or interfere with the service.
Trial, plans and payment
New clinics get a free trial. After the trial, continued use requires a paid plan. Plans limit the number of active doctors; prices are shown on our website or agreed in writing. SMS and WhatsApp messages may be charged separately. Fees paid are non-refundable except where required by law.
Availability and changes
We work to keep ClinicQ available and secure but do not guarantee uninterrupted service. We may improve or change features and will give reasonable notice of material changes to these terms.
Suspension and ending
You may stop using ClinicQ at any time. We may suspend a clinic for non-payment or misuse. On request after ending, we will return or delete the clinic’s data, subject to legal retention requirements.
Liability
To the extent permitted by law, Ematrix is not liable for indirect or consequential losses, and its total liability is limited to the fees paid by the clinic in the twelve months before the claim.
Governing law
These terms are governed by the laws of India.
